SimpleSiteWatch collects the information needed to run accounts, workspaces, subscriptions, website monitoring, reporting and integrations. We do not store full payment-card numbers. Connected services and optional AI features may send relevant data to third-party providers. We use security controls, keep data only as long as reasonably required, and provide ways to access, correct and delete information where applicable.
This Privacy Policy explains how SimpleSiteWatch handles personal information when you visit our websites, create an account, use the SimpleSiteWatch application, connect third-party services, contact support or otherwise interact with us.
In this policy, SimpleSiteWatch, we, us and our mean the Australian entity that operates SimpleSiteWatch and is identified as the supplier on your order, invoice or account documentation.
We handle personal information in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply to us.
Depending on how you use SimpleSiteWatch, we may collect and hold:
We do not ask you to provide sensitive information unless it is genuinely needed for a specific purpose. Please avoid entering sensitive personal information into free-text, AI, support or content fields unless it is necessary, lawful and appropriate to do so.
We collect information:
We use personal information where reasonably necessary to:
We do not sell personal information to advertisers.
SimpleSiteWatch is a multi-user workspace service. Depending on your role, other authorised users in the same workspace may be able to see your name, role, activity or business records you create or modify. Workspace Owners and Administrators may manage access, connected services, recipients and workspace configuration.
Business content created inside a workspace normally remains with that workspace even if the individual creator later leaves. Historical attribution may be retained or, where appropriate, anonymised.
If you connect a third-party service, SimpleSiteWatch may receive and process data made available through that provider's API. The exact information depends on the service, the permissions you grant and the features you enable.
Reusable OAuth tokens, API credentials and similar secrets that must be stored are protected using encryption or one-way hashing as appropriate. Disconnecting an integration stops future authorised collection and removes or disables reusable credentials, but historical data already collected may remain under the normal retention rules unless you request its deletion where available.
Your use of third-party services is also governed by the third party's own terms and privacy practices.
Where you use an AI-assisted feature, relevant prompts, instructions, website/content context and other information needed for the request may be transmitted to the selected AI provider. SimpleSiteWatch records provider/model and generation metadata for audit, usage and cost management.
Do not submit personal or confidential information to an AI feature unless you are authorised to do so and the information is appropriate for that feature.
AI-generated material is intended to assist human users. It may be inaccurate or incomplete and should be reviewed before use or publication.
SimpleSiteWatch uses automated processes to schedule website checks, detect monitoring conditions, group incidents, calculate usage and entitlements, send alerts, create summaries and support other operational functions. Some optional features use AI to generate recommendations or draft content.
These processes are generally designed to provide monitoring information, administer the Service or assist users, rather than to make solely automated decisions that significantly affect an individual's rights or interests. If our practices change in a way that requires additional privacy disclosures about automated decision-making, we will update this policy and provide any notice required by law.
We may disclose personal information to service providers where reasonably necessary to operate SimpleSiteWatch, including:
We may also disclose information in connection with a genuine merger, acquisition, restructure or sale of the Service, subject to applicable privacy obligations.
Our primary SimpleSiteWatch application and customer database are intended to be hosted in Australia at launch. However, some third-party service providers and integrations may process or store personal information outside Australia.
Depending on the providers and features you use, overseas processing may occur in the United States and in other countries where those providers or their subprocessors operate. We take reasonable steps, where required, to assess and manage overseas disclosures in accordance with applicable Australian privacy law.
Because provider infrastructure can change, you may contact us at privacy@simplesitewatch.com for current information about material service providers relevant to your use of the Service.
The SimpleSiteWatch application uses essential cookies or similar browser storage to maintain secure sessions, protect requests and remember necessary application state. These are required for the authenticated Service to function.
If we introduce optional analytics, advertising or other non-essential cookies on public websites, we will provide appropriate notice and controls where required.
We use technical and organisational safeguards designed to protect personal information, including access controls, role-based permissions, multi-factor authentication for privileged administration, encryption of reusable secrets, secure session handling, audit logging and protected storage.
No method of storage or internet transmission is completely secure. If you become aware of a suspected security issue involving SimpleSiteWatch, contact us promptly.
We retain information only for as long as reasonably required for the purpose for which it was collected, to provide the Service, to meet contractual or legal obligations, or for legitimate security, audit, dispute-resolution and fraud-prevention purposes.
Retention varies by data type and subscription entitlement. In particular:
Where deletion is required, information may be deleted, anonymised or rendered inaccessible in accordance with our retention and backup processes.
You may update much of your account information directly in the Service. You may also request access to, or correction of, personal information we hold about you by contacting privacy@simplesitewatch.com.
Workspace Owners may be able to request a structured export of customer-safe workspace data. Exports exclude secrets such as passwords, OAuth tokens and private API credentials.
We may need to verify your identity before actioning an access, correction, export or deletion request. In some circumstances, applicable law permits or requires us to refuse or limit a request; if so, we will explain the reason where we are permitted to do so.
Deleting a personal account does not automatically delete workspace-owned business records. If you are the last Owner of a workspace, you may need to transfer ownership or initiate workspace deletion first.
Workspace deletion follows a staged process designed to prevent accidental loss. Where available, an authorised Owner may permanently purge already-deleted resources before the normal recovery period ends.
Operational emails — such as security, billing, verification, outage and important service notices — are not marketing messages and may be necessary to provide or secure the Service.
If we send direct marketing, we will do so in accordance with applicable law and provide an appropriate way to opt out. Opting out of marketing does not stop necessary transactional or security communications.
We maintain processes for responding to suspected data breaches. Where the Notifiable Data Breaches scheme or another applicable law requires notification, we will notify affected individuals and the Office of the Australian Information Commissioner or other relevant authority as required.
If you have a privacy concern or believe we have not handled your personal information appropriately, please contact privacy@simplesitewatch.com and provide enough information for us to investigate.
We will acknowledge and assess privacy complaints and aim to respond within a reasonable period. If you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner at oaic.gov.au.
You may contact us anonymously or using a pseudonym where it is practical and lawful to do so. However, we generally need accurate identifying and contact information to create an account, provide a paid subscription, secure access, administer billing and respond to account-specific requests.
SimpleSiteWatch is intended for adults and organisations and is not directed to children. We do not knowingly invite children to create accounts.
We may update this Privacy Policy when our information-handling practices, providers, features or legal obligations change. We will publish the updated version and effective date.
For a material change, we may provide an in-app or email notice and may require users to acknowledge or re-accept the updated policy where appropriate.
Privacy questions, access/correction requests and complaints can be sent to privacy@simplesitewatch.com.
General support enquiries can be sent to support@simplesitewatch.com.
